Creating reports in Access is a straightforward process most of the time. However, Access can only do so much for you unless you know how to take advantage of it. Readers need totals and subtotals, and, sometimes, something even more than those tools provide - insight. In this article, I'll show you three ways to display helpful information in a typical report using aggregate functions, conditional formatting, and customized messages. In a practical sense, aggregate functions are like any other function: Pass some data and aggregate functions return a single value. The difference between aggregates and other functions is that aggregates evaluate values from a field over many records, not just a single value in a single record. In reports, you use aggregate functions to generate subtotals, grand totals, averages and much more. But it's knowing where to put an aggregate that is the key to getting the correct results.
